Introduction
Running EBP on a single office PC always leads to the same problem: the company file lives on one machine, and you have to sit in front of it to work. Hosting EBP on a Windows VPS moves that workstation into our datacenter. The software is installed once, the database stays in one place, and each user reaches it over RDP from the office, from home or while travelling, starting at €13/month incl. VAT.
For a shared company file we recommend Windows - Plus: 8 vCores, 16 GB of RAM, 200 GB SSD and 500 Mbps, at €13/month incl. VAT. Our sizing rule is plain: 4 GB of RAM is enough for RDP and office work with a single user, and 8 GB becomes the floor as soon as business software or several concurrent sessions come in. What a remote server changes for EBP
One file, several users
The software and the database stay in one place, and everyone connects over Remote Desktop instead of copying files around. Mind the Microsoft rules: Windows Server allows 2 concurrent administrative RDP sessions, and beyond that you need RDS CAL licences, at your own expense.
A snapshot before year-end close
Before a year-end close, a version upgrade or a batch of entries you are unsure about, take a snapshot from the client area. If the result does not suit you, restore the previous state instead of unpicking the file entry by entry.
Pick the desk back up from home
The server runs in our datacenter, not under a desk. An RDP session opened in the evening from home finds exactly the screen left at work, with the same EBP windows open, with no file transfer and no USB stick.

Replacing the office PCs
When the accounting PC dies or the fleet gets renewed, there is nothing to reinstall: the software and the file live on the server, and the new PC only needs a Remote Desktop client.

The EBP licence is not included.
No. By-Hoster is neither an EBP partner nor a reseller, and supplies no licence for the software: that stays your responsibility, through the vendor or your usual reseller. The same goes for the Microsoft licence of the operating system. Check with them that your contract allows an installation on a remote server and covers the number of seats you plan. Our price covers the server, the infrastructure, the dedicated IPv4, Anti-DDoS, snapshots and 24/7 support — nothing else.
The point to grasp before ordering: Windows Server allows 2 concurrent administrative RDP sessions. That is a Microsoft rule, not a limit we impose. Beyond it — as soon as several colleagues must open EBP simultaneously in application mode — you need to buy Microsoft RDS CAL licences, at your own expense. Budget the memory too: every open session takes its share, which is why 16 GB on Windows - Plus is the sensible starting point for a team.
Our official rule of thumb: 4 GB of RAM minimum for light use, meaning RDP and office work with one single user, and 8 GB as soon as business software is added, along with a SQL Server Express engine or several concurrent users. All our Windows configurations start at 8 GB, which already covers a standalone EBP workstation. For a file shared between several people, Windows - Plus and its 16 GB leave the necessary headroom. Memory is picked at checkout — 8 GB on Core, 16 GB on Plus, 32 GB on Max, 64 GB on Titan — and the server is delivered in 10 minutes.
Take a snapshot from the client area right before the operation. It is an action you trigger, not a scheduled job: we document snapshots, no automatic daily backup, and we would rather write that plainly than let it be assumed. The healthy habit is twofold: the server snapshot to roll back to the previous state, and the software's own backup export, copied off the VPS. A full reinstall is also available from the client area.
The server arrives with the operating system only: no business software is pre-installed, and we supply none. You connect over RDP with the administrator credentials sent at delivery, get your EBP installer and licence key from the vendor or your reseller, then install it as you would on a normal PC. You have full administrator access. Our support does not step in on the configuration of the software itself.
Yes, that is the main point. RDP is tuned up to 60 FPS and works from a PC, a Mac, a tablet or a phone. Closing the RDP window disconnects your screen, not the machine: the session stays open with EBP exactly as you left it, ready to be picked up in the evening from home. Avoid "Sign out" in the Start menu, which really does close the running applications. Our RDP connection guide covers each platform.
Three systems are offered at checkout, at no extra cost: Windows Server 2025, Windows Server 2022 and Windows 11. For a shared workstation, pick a Windows Server: 2025 is the latest LTSC release, with mainstream support until 13 November 2029, security updates until 14 November 2034, hotpatching and SMB over QUIC; 2022 remains the choice if your reseller does not validate 2025 yet, bearing in mind its mainstream support ends on 13 October 2026 (security until 14 October 2031). Windows 11 is a client system, not designed to host a multi-user service. The system can be changed later by reinstalling.
